Off-the-shelf SaaS or custom system: what nobody tells you about long-term cost

An off-the-shelf tool always looks like the cheaper option: low monthly fee, no upfront investment, ready to use today. And for a lot of operations, it really is the right choice — there's no reason to build from scratch something a market tool already solves well.

The problem shows up when the business grows and the ready-made tool doesn't keep up: a user limit that forces a plan upgrade, a specific feature that doesn't exist and never will (because it doesn't serve just you), or your operation's data locked inside a platform you don't control.

At that point, the monthly fee that looked cheap has already run for years, and a custom system — with a higher upfront cost — ends up cheaper in total, on top of solving exactly what your operation needs, with nothing missing or left over.

There's no generic answer for which option is better. There's a point where it's worth reevaluating — and it's usually when the ready-made tool starts dictating how you work, instead of adapting to how you already work.
