From spreadsheet to system: the signs it's time to migrate

Every operation starts on a spreadsheet, and there's nothing wrong with that — it's fast, familiar and works well while volume is small. The problem is not noticing when it stopped helping and became the bottleneck.

Some signs are clear: more than one person edits the same spreadsheet and versions end up conflicting; someone has to manually cross-reference information from three different tabs every week; a broken formula quietly causes a wrong decision nobody catches in time; or the business owner is the only person who understands how that spreadsheet actually works.

When these signs show up, the cost of staying on the spreadsheet stopped being zero — it's just hidden in lost time, human error and the risk of a corrupted file wiping out months of history. Migrating to a system doesn't mean losing simplicity, it means automating what's already a repeated process and keeping only the part that requires a human decision.

It's not about abandoning the spreadsheet out of trend — it's about recognizing when it already costs more hidden than a system would cost out in the open.
